It's safe to say that 100% of professionals have a WeChat account, and possibly more than one. WeChat's powerful features and user-friendly interface are key to its widespread popularity. It has not only replaced traditional text messaging but also most phone calls, making communication more efficient and economical. Who still spends a cent on a text message to contact a friend these days? WeChat's free calls and video features have become the preferred choice.
In the workplace, WeChat plays an even more significant role. Sending notifications, files, images, and even sharing photos is far more convenient than using traditional office software. It's an indispensable office tool in today's workplace, without a doubt. WeChat's convenience is also reflected in its voice message function a great convenience for the elderly who are not comfortable typing, allowing them to easily communicate with their children or relatives. However, this convenience can become a hindrance in the workplace, unless you're the boss.
Many people are accustomed to using voice messages, believing it to be convenient and efficient. However, this convenience often causes inconvenience, even annoyance, for the recipient. I've personally encountered numerous instances of clients communicating with me using long voice messages. Faced with lengthy voice notes, I often can only shake my head in frustration. Many people have had similar experiences. Let's delve deeper into the problems with WeChat voice messages in the workplace.
First, let's consider it from the perspective of computer work. For most people, the first thing they do after turning on their computers is logging into WeChat to check messages and transfer files, which are more convenient on a computer. However, many company-provided desktop computers don't have microphones, meaning voice messages can't be directly listened to. If you receive a work-related voice message from a client or colleague, you need to find headphones or use your phone, which is not only troublesome but can also disturb nearby colleagues. In such situations, people often don't reply immediately unless it's from a superior. Imagine receiving several work-related messages, some text and some voice; which would you prioritize? Most people would choose text messages first, aligning with the modern work ethic of prioritizing efficiency.
Secondly, the length of voice messages is difficult to control. Some people habitually send long voice messages, lasting tens of seconds or even minutes, which wastes time and impacts efficiency. Furthermore, voice messages can be unclear, leading to misunderstandings. In contrast, text messages are concise and clear, ensuring more accurate communication. In today's efficiency-driven workplace, text communication is undoubtedly superior.
Thirdly, when sending a voice message, you can't predict the recipient's situation. They might be in a meeting or giving a presentation. Receiving your voice message at that moment would be inconvenient, as they would be unable to listen immediately and risk interrupting the meeting or presentation, leading to awkwardness.
Some might argue that WeChat has a voice-to-text function. However, this feature isn't as practical as one might think. For people with standard Mandarin and good speaking habits, it's acceptable. But if the speaker has a strong accent, dialect, or uses colloquialisms, the transcribed text is often difficult to understand, sometimes becoming nonsensical. I once received a voice message from a supplier in Shanxi province; the transcription was like a foreign language, and I had to listen to the voice message again to understand its meaning.
Therefore, for everyday communication with family and friends, voice messages are undoubtedly convenient. Family and friends can understand your dialect and tolerate imperfections in your spoken language. However, in the workplace, to avoid unnecessary misunderstandings and communication barriers, I strongly recommend avoiding voice messages. Even text messages can lead to misunderstandings, let alone voice messages.
If you really aren't comfortable typing, use the voice-to-text function built into your phone's input method. This function can convert your speech into text in real-time, requiring only minor edits. This ensures convenient communication while avoiding the inconveniences of voice messages.
In short, for improved work efficiency and to avoid misunderstandings, opt for text communication in the workplace. While WeChat voice messages are convenient, they have many limitations in a professional setting, making them ultimately counterproductive. I hope you understand and adopt my suggestion to avoid using WeChat voice messages in workplace communication.
